This is a Full-time position in Austin, TX posted June 6, 2021.

We are looking for multiple Office Manager/Receptionists to oversee offices in Austin TX. We do have Safe COVID Protocols in place to ensure a Safe and Healthy Environment for all!* Role: Office Manager/Receptionists* Location: Austin, TX* Duration: 1 year + contract* Openings: 5Skills and Experience:* Uses Microsoft office product, including Word, Excel, PowerPoint, Outlook, and SharePoint.* Familiar with office equipment (copier, fax, shipping and receiving tools)* Learns various departmental processes and procedures including but not limited to expense processing, document preparation and retention.Requirements:* Maintains a professional demeanor at all times.* Ability to multitask and quickly adapt in a fast-paced environment.* Maintains confidential information.* Normally receives general instructions on routine work and detailed instructions on new assignments.* Works well as a team member, sharing responsibilities for tasks and objectives.* Participate in team meetings and contribute ideas as appropriate.* Build stable internal and, as required and external working relationships.* Works on routine assignments required limited judgment.* Follows standard procedures in written direction to accomplish assigned tasks.* Refers unexpected or difficult questions to higher levels.Day to Day:* 50% At-Desk Tasks:* Provide administrative support for designated leaderteam.* Greets visitors, maintains visitor logs, and issues visitor passes as required.* Receives incoming calls, routes calls to appropriate contacts and takes/relays messages.* Provides initial point of contact for client in a professional and efficient manner.* Manages high-volume telephone traffic via multi line phone system.* Coordinates visitor traffic in accordance with central securities guidelines.* Receives and logs incoming packages.* Receives messenger Dash courier deliveries and notifies mail room and or appropriate team members.* Updates/maintains contacts and additional online lists for Security and Team Members.* Provides back up support for other office team responsibilities, including not limited to intra-office relocations and workspace arrangements, reception desk coverage.* 50% Other Tasks:* Ensures office equipment and supplies are properly ordered, stocked, maintained and replaced as necessary.* Make sure kitchens are stocked with supplies.* Maintains office equipment and supplies (printers, ink, toner, paper)* Orders and maintains inventory of office and coffee supplies.* Corresponds with building maintenance and vendors for repairs and other requests.* Ensures facilities upkeep and works with facilities team to address/resolve repairs and other requests.If you meet all requirements and are interested in this opportunity please send an updated resume in Word Doc to mtuggle@apexsystems.comEEO EmployerApex Systems is an equal opportunity employer.
