Job/Position DescriptionClerk I
– The Clerk I (Medical Filing Clerk) functions as a member of the medical /clerical support team under the direct supervision of the Unified Records Coordinator.

The Clerk I performs clerical duties requiring application of varied complex work methods and procedures.

Has latitude for decision making in carrying out routine and special phases of work, such as answering correspondence, distributing mail, giving information, continuity of care services, timely completion of the clinical record, maintaining records and confidential files, preparing routine and special reports, and utilizing computers and various automated office machines.

Exercises initiative and judgment in determining individual methods and practices for work situation.

A high volume of copying using a multipurpose copier/fax/printer will be expected.

Copies will be made for the following: impending admissions and discharges, and copies for all deaths, and other as requested.

Essential Job FunctionsAttends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.

Files, maintains, and organizes all incoming documents for individualand#146;s records.

Purges documents according to retention schedule.

Assists in record requests and document location.

Maintains all records are in good condition.

Assures all required courses and classes are up to date.

Maintains filing records in computer and data sheets are filed and up to date.

Assist in other duties as need.

Other duties as assigned include, but are not limited to, actively participating and/or serving in a supporting role to meet the agencyand#146;s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation.

Such participation may require an alternate shift pattern assignment and/or location Registrations, Licensure Requirements or CertificationsN/AKnowledge Skills Abilities1.

Knowledge of office practices and administrative procedures.


Skill in use of standard office equipment and software (Word, Excel, PowerPoint, Access, Outlook.) 3.

Ability to implement administrative procedures; to interpret rules, regulations, policies, and procedures.


Ability to maintain filing systems.


Ability to handle and safeguard sensitive and confidential information.


Ability to communicate effectively; orally or in writing.


Ability to establish and maintain effective working relationships with supervisor and coworkers.


Ability to work in an environment with Intellectually Disabled individuals 9.

Physical ability to complete routine document pick up, walk to and from units, lift 20 pounds, climb stairs, sit or stand for lengthy periods.

Knowledge of medical terminology and composition of medical records is very helpful.

Initial Screening CriteriaHigh School Graduate/GED.

Prior Filing Experience shown in current or previous work history.

Experience with using standard office equipment (fax machine, copier, computer, telephone, etc.).

Experience with Microsoft Office software
– shown in work history.
