JOB TITLE:  Clinical Supervisor HOTEI

SUMMARY OF DUTIES:        Responsible for supervision of clinical staff and coordination with personnel

of other departments  

ESSENTIAL FUNCTIONS:

  • Manages patient flow including assignment of staffing and adjustment of room assignments where needed.
  • Supervises and manages personnel in clinical department and ensures adequate coverage for performance of clinical activities.
  • Directs and supervises clinical services in accordance regulatory standards and brings concerns to the attention of the Administrator in a timely manner.
  • Responsible for training of clinical staff and assists Physicians with evaluation of staff performance.
  • Ensures positive patient service atmosphere and interactions in clinical areas.
  • Promotes teamwork through collaboration.
  • Investigates patient complaints and ensures timely response where needed.
  • Ensures all patient, pharmacy and patient related calls, emails, correspondence are responded in the same day acquired
  • Enforces and assures compliance with all HOTEI policies.  
  • Work alongside clinical staff as an Ophthalmic Technician.

EDUCATION: COA, Bachelors Degree 

OTHER REQUIREMENTS: Must hold current Certified Ophthalmic Assistant or higher, Time Management, Good Communicator, People Skills

EXPERIENCE: Minimum of five years ophthalmic office and personnel management experience 

ADMINISTRATIVE RESPONSIBILITIES 

  • Supervise, coordinate, and provide back-up for the activities of the clinical staff.   
  • Manage the human resources of the clinical support staff. Interview, recommend hiring, new employee orientation, training, assign work to and, when necessary, discipline and recommend termination. Interact with the Physician team in resolving complex employee-relations problems 
  • Ensure the daily operating activity of the clinical area is appropriate such as assigning workload, maximizing staff productivity and patient flow, collecting, and preparing various reports to effectively plan for resource allocation changes
  • Assist in evaluating the performance of clinical staff by monitoring individual work performance and obtaining feedback from patients, physicians, and other personnel to accurately evaluate employees
  • Coordinate with the Physicians in implementing all Practice personnel policies and procedures.
  • Provide for daily patient coverage, assist the Physicians in developing exam work up and testing protocols and provide related training to staff as needed 
  • Responsible for maintaining properly operating testing equipment and instruments.
  • Monitor and maintain sufficient inventory of clinical supplies.
  • Ensure the Practice?s compliance with OSHA regulations.
  • Identify problems with the medical record functions, report them to the Physicians and offer suggestions for improvements
  • Perform weekly spot audits of personnel to ensure timely and accurate completion of patient visit notes in EMR  
  • Participate in the development of patient education programs as requested 
  • Plan conduct and/or facilitate in-services and education programs for clinical employees. Ensure employees are current with required skills and knowledge
  • Maintain professional affiliations and enhance professional development to keep current in the latest healthcare trends and developments 
  • Perform other duties as required by the Physicians to ensure the efficient operation of the Practice and the attainment of Practice goals

CLINICAL RESPONSIBILITIES

  • Verifies patient information by interviewing patient, recording medical history, and confirming the purpose of the visit.
  • Checks condition of patient?s eyes by observing pupils, muscles, visual acuity, and extraocular motility.
  • Prepares patients for ophthalmology examination by manifesting refraction, dilating their pupils, reporting patient?s history summary, changes in visual acuity, elevated intraocular pressure to the doctor.
  • Anticipates the doctors needs and prepares/performs diagnostic testing provide helpful information.
  • Setup and assist in minor surgical procedure.
  • Secure patient information and maintains patient confidentiality by completing and safeguarding medical records; completing diagnostic coding and procedure coding; and keeping all patient information confidential.
  • Counsel patients by transmitting physician?s orders, use of drops, contact lenses, drugs, and questions about surgery.
  • Maintain safe, secure, and healthy working environment by establishing and following standards and procedures and complying with all legal regulations.
  • Keep supplies ready by inventorying stock, placing orders, and verifying receipt.
  • Keep equipment operating by following operating instructions, troubleshooting breakdowns, maintaining supplies, performing preventive maintenance, and calling for repairs.
  • Update job knowledge by participating in educational opportunities and reading professional publications.
  • Adhere to professional standards, policies and procedures, federal, state, and local requirements.
  • Enhance ophthalmology practice reputation by accepting ownership for accomplishing new and different requests, exploring opportunities to add value to job accomplishment.
  • Complete other tasks and assignments as deemed appropriate by your supervisor.

  • Skill in developing and maintaining clinical quality assurance  
  • Skill in exercising high degree of initiative, judgement, discretion and decision-making
  • Ability to plan, organize, prioritize, and direct the work of others  
  • Ability to communicate clearly  
  • Ability to work with all areas of the Practice and personnel levels

  • The ability to speak in a clearly understood manner, to understand patients? medical records and Physicians? orders and to communicate the same to appropriate individuals and patients  
  • Frequent exposure of communicable diseases, toxic substances, medicinal preparations, and other conditions common to an ambulatory care center
  • Supervises all clinical support staff and is a member of the management team
