Executive Assistant to CEO

This is a Contract position in Houston, TX posted July 30, 2021.

Role Overview .

The primary responsibility of the Executive Assistant is to help the CEO become more effective as the leader of the company.

Among other roles, our CEO engages in business development, serves clients, leads team members, and maintains a heavy travel schedule.

The CEO’s Executive Assistant (1) represents the CEO to internal and external stakeholders, (2) manages the CEO’s schedule, and (3) provides administrative support for the CEO’s office and the company.

Responsibilities.

Represents the CEO to internal and external stakeholders .

Effectively acts as the liaison between the CEO and the company’s leadership/staff, clients, strategic partners, vendors, etc.

Communicates professionally as a representative of the CEO and develops strong working relationships with all levels from front line staff to presidents of the largest non-profit organizations.

Keeps the CEO well informed of various issues, commitments, and responsibilities.

Manages the CEO’s Schedule .

Manages an extremely active calendar of appointments.

Arranges detailed travel plans, itineraries, and agendas.

Provides Administrative Support for the CEO’s office and the company .

Takes meeting notes and ensures action items are completed.

Composes and prepares correspondence, documents, and presentations.

Prepares the CEO’s expense reports.

Completes personal errands for the CEO from time to time.

Maintains appropriate confidentiality of matters of the CEO’s office.

Provides general administrative support to the CEO and the company.

Assist CEO in supporting clients with various client service duties.

Manage details and proactively drive client functions.

Creating meeting agendas, scheduling meetings, managing rooming lists and other details related to service the CEO’s portfolio of clients.

Schedule/Travel.

Mondays through Fridays from 8:30am to 5:30pm.

Available to provide afterhours support from time-to-time.

Qualifications.

Experience 5 years of Executive Assistant experience supporting a C-level executive, preferably in a professional services or consulting services environment Advanced experience with travel arrangements, calendaring and complex expense reports Skills Advanced experience in using email/calendaring, word processing, spreadsheet, and presentation software, such as Microsoft Outlook, Word, Excel, and PowerPoint Ability to proactively direct CEO tasks and responsibilities at a high-level with minimal supervision Education Bachelor’s degree or equivalent work experience Compensation & Benefits Compensation will be based on experience.
