Client Billing Assistant

K&L Gates

This is a Full-time position in Dallas, TX posted June 19, 2021.

The global law firm of K&L Gates LLP is seeking a Client Billing Assistant to join the Dallas office.

The candidate will be responsible for assisting in the review, edit, preparation and submission of invoices in accordance with the firm and client guidelines for each assigned office.

Candidates must be self-starters who possess the ability to work independently and as part of a team.

Excellent communication skills and a commitment to providing the highest quality client service are strongly preferred.

KEY RELATIONSHIPS Internally they are responsible for communicating with timekeepers, other local billing groups, firmwide Accounting/Finance, Directors of Administration, legal secretaries and administrative support staff. Externally they are responsible for working with vendors and responding to client inquiries.


Generate monthly draft invoices for review by lawyers in 4 Texas offices ?

Process revisions requested by lawyers, submitted through paperless proforma software ?

Ensure that 3rd party costs to be billed are in compliance with the client?s billing guidelines ?

Prepare final invoices for delivery to client by the lawyer or submission through e-Billing website ?

Respond to research requests related to 3rd party costs on draft invoices ?

Respond to requests for billing and payment history ?

Prepare ad hoc reports as required ?

Maintain positive working relationships with internal and external clients ?

Perform other duties and responsibilities as directed ADDITIONAL DUTIES ?

Participate in department projects as assigned EXPERIENCE & SKILLS REQUIRED ?

High School Diploma or equivalent ?

Experience working with clients, vendors and/or customers ?

Working knowledge of MS Office, especially MS Excel ?

Prior work experience in a billing or accounting department working with an automated accounting or billing system ?

Ability to maintain confidentiality of all firm and client related information ?

Ability to multi-task, work under pressure, handle interruptions while maintaining flexibility in work assignments ?

Ability to communicate effectively and interact with diverse personalities while maintaining a professional attitude ?

Ability to ensure a high level of accuracy and attention to detail on all assignments ?

Previous experience as a secretary or billing clerk within a professional services organization desired
