Five years of experience preferably in higher education. Additional education may be considered in lieu of experience. Nature & Purpose of Position Performs complex administrative support duties for the President’s Office. Primary Responsibilities Performs, coordinates, and oversees a wide variety of executive administrative duties in support of the Deputy to the President. Coordinates and supervises program activities. Develops, coordinates, and implements assigned processes. Provides information pertaining to organizational procedures and policies to individuals within the institution or the general public which may involve research, compilation, evaluation, and distribution. Prepares reports and documents for internal and external constituents. May manage, direct, or provide financial or budgetary support for a department, college or division. Coordinates, compiles, and evaluates data received from a variety of sources relating to the effectiveness of the assigned activity, program, or project. Receives inquiries and responds to questions and requests of a complex or confidential nature, referring any such requests which are controversial or specialized to the appropriate official. Channels and facilitates communication from other departments, using independent judgment to determine those requiring priority attention. Prepares, reviews, revises, and distributes documents and general correspondence of a routine nature. Publishes and prepares reports of informational, demographic, and statistical content. Organizes diverse data into reports and publications to support the consistent flow of information within the department and campus wide. Maintains department and organizational archives of information, data, and ongoing project support on a continuing basis. Maintains real-time status of department web site and organizational charts. Prepares and publishes updated and cumulative briefing reports for the Texas State University System (TSUS) Board of Regents. Serves as the technology specialist in the department. Coordinates high-level meetings and events to include budgeting, provisioning, securing venues, securing IT capabilities for content presentation, facilities set-up and attendee liaison. Works with departments and divisions campus wide to coordinate complex events and to provide for the departments’ and divisions’ specialized requirements. Supervises, trains and guides staff on all employee issues and practices required to remain compliant with federal, state and university employee policies and standards. Completes Electronic Personnel Action Forms and executes employment changes to include steps from new hire, through grade and job changes and termination. Supervises student employees. Works with Deputy to the President to design work assignments, division of labor and levels of delegation to best expedite workflow and a changing set of demands on the staff and management team. Implements and participates in the development of department operational policies and interpret their application across various daily operational scenarios. Assists the Chief Strategy Officer when needed. Performs other duties as assigned. Other Specifications Ability to organize work effectively and prioritize objectives with a high level of independent judgment and initiative. Ability to integrate resources, policies, and information for the determination of procedures, solutions and other outcomes. Skilled in directing multiple tasks, setting priorities, and organizing operations. Should be a self-starter and be able to function independently. Ability to establish and maintain effective working relationships with administration, faculty, staff and the public. Must exercise discretion and utilize strong reasoning and problem- solving skills. Strong written and oral communication skills. A working knowledge of Sam Houston State University would be helpful.
