Essential Duties and Responsibilities:

Work closely with Ortho Billing Supervisor and Office Leaders to: 

  • Identify delinquent accounts, aging periods, and payment resources 
  • Contact Office Lead/Ortho Treatment Coordinator for additional insurance information and resubmitting denial claims to appropriate dental payers
  • Reviewing explanation of benefits and patient history for accurate reimbursement and discounts by contracted managed care companies
  • Research and processes all rejected claims and resubmits with corrected information
  • Assist with processing insurance and patient refunds
  • Process insurance related correspondence and responding timely to inquiries 
  • Follow up with insurance companies ensuring that claims are paid on a timely basis by monitoring aging reports and open claims reports
  • Develop relationships with key personnel at the dental payers to obtain assistance with claim reconsiderations
  • Maintain strict confidentiality
  • Understand Orthodontic insurance and Medicaid changes 
  • Understand the protocols for the department 
  • Identify and track orthodontic payments/payment plans 
  • Assist in Orthodontic Insurance disputes and patient escalations 
  • Assist with training new staff members 
  • Make accurate account adjustments 
  • Transfer patient documentation from one location to another 
  • Assist executive management as needed
  • Work with Ortho Appeals/Aging 
  • Submission of Pre Authorization, when applicable, for PPO Insurance patients 
  • Ensure self pay accounts are collected in full by the end of treatment 
  • Work with accounts payable
  • Performs all other duties as assigned; and,
  • Ability to communicate clearly with team and doctors – This is KEY! 

?Integration with Headquarters: 

Assist the Operation field team and Headquarters to: 

  • Communicate with Office Leaders and Treatment Coordinators in regards to accounts 
  • Train Ortho Treatment Coordinators on orthodontic insurance 
  • Set up conference room for training events or special functions for Team Powerchain 
  • Assist Headquarters with special projects 


  • 1-3 years of billing experience preferred
  • Previous experience with multi-specialty dentistry is a huge plus!
  • Medicaid & PPO experience highly desired
  • This position may require the employee to use his/her personal vehicle to travel to different work sites during the course of the work day, which means you would need an active, valid Driver’s License.
