Project Assistant

This is a Contract position in Aubrey, TX posted August 19, 2021.

The Project Assistant provides administrative and logistical support for Chickasaw Network Services, LLC (CNS), a Telecom and Utility Construction Company. The Project Assistant will be responsible for project-specific activities ensuring that the job set up, processing, production, schedule compliance, data quality and delivery of data requirements are met for project success.

Job Requirements:

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following.  Other duties may be assigned.

Creates and maintains project files and updates Project Tracker.

Maintains files ensuring documentation/information is current, can be readily retrieved and labeled in accordance with internal and/or customer required naming conventions.

Collects and accurately tracks all design, permit, construction, splicing, testing and cutover activities in excel Project Tracker and Customer proprietary software for a large volume of project data and milestones. 

Attends crew meetings as needed to collect documents, communicate information and respond to inquiries.

Uploads required milestone documentation to Customer proprietary software.  

Creates invoices within Customer portal for all jobs, reconciling units before submittal, and verifying all required documentation has been uploaded to Customer proprietary software.

Assists with materials requisition, receipts, distribution, inventory and related reporting. Materials and inventory activities also require maintenance in Customer proprietary software.

Supports Specialists and leadership team with coordination of projects and daily business needs.

Responds in a timely manner to requests from Management and Field Operations.

Assists with external and internal vendor relations, including but not limited to, payment of invoices, new vendor setup, required Customer pre-approvals and resolution of any vendor issues. 

Maintains a safe work environment by following and supporting safe practices.

Assists and provides backup support to other office support employees as required.

Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

Plans daily activities within the guidelines of company policy, job description and supervisor’s instruction in such a way as to maximize personal output. 

Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers. Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources. Will immediately correct any unsafe conditions to the best of own ability.

EDUCATION / EXPERIENCE

High School diploma or General Education Degree (GED) and a minimum of two (2) years’ relevant experience and/or training, or equivalent combination of education / experience.

Telecom or Utility industry experience a plus.

Preferred but not required: Experience with Verizon proprietary software: 3GIS, CoFEE, Fiber Build, Fiber Services, and/or invoicing.

CERTIFICATES, LICENSES, REGISTRATION

Required to pass pre-employment screening that includes background and drug testing

U.S. Citizens / Green Card due to Customer contract requirement

JOB SPECIFIC KNOWLEDGE / SKILLS / ABILITIES

Ability to operate standard office equipment such as computers, typewriters, copiers and office automations systems

Skilled proficiency in the use of Microsoft Windows and Office programs (i.e., Word, Excel, Outlook, PowerPoint, etc.)

Technical aptitude and willingness to learn customer-specific design software

Skilled proficiency in collecting, compiling, editing, analyzing and presenting data

Effective record keeping and document management skills

Detail-oriented with ability to multitask effectively. Excellent attention to detail, reconciling and proofreading skill

Solid organizational skills relevant to carrying out day-to-day responsibilities. A high level of time management, accountability and prioritization skills is required

Knowledgeable and proficient in the use of the English language as to professional business grammar, spelling, punctuation and capitalization in the preparation of correspondence

Exceptional customer service, listening and relationship-building skills

Ability to learn and apply new knowledge in a fast-paced environment

Ability to interact, demonstrate tact and communicate effectively at all levels and across diverse cultures in a variety of situations

Ability to work effectively both individually and in a team environment

MATHEMATICAL SKILLS

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to apply commonsense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization.
