Fleet and Facilities Maintenance Manager


This is a Full-time position in San Antonio, TX posted July 12, 2021.

Position: Fleet and Facilities Maintenance Manager

Status: Full Time

Pay Grade: ($45,000 – $55,000 annually)

Education: Associate’s Degree or Certification in Logistics, Safety/Risk Management, Facilities Management or Related Field Preferred

Experience: Experience and knowledge of facility maintenance and inspection activities, and in the proper functioning, coordination, operation, and management of fleet vehicles and associated equipment and supplies, including but not limited to over-the-road vehicles and trailers, portable power generation. Ability to acquire knowledge of DOT rules and regulations. Enhanced knowledge of repair and maintenance of commercial building equipment to include plumbing, electrical work, carpentry, and HVAC systems as well as related safety standards and practices.

Summary: The Fleet and Facility Maintenance Manager is responsible for developing and implementing vehicle and equipment strategies, maintenance and repair programs to meet the organization’s operating needs and ensure smooth and cost-efficient procedures for staff. Manager is also responsible for activities related to the general maintenance, repair and appearance of assigned facilities and for working with employees to ensure they are in compliance with all local and federal state laws and regulations along with organization policies.

Critical Action Items:

Fleet Management

  • Ensure fleet vehicles are operated in compliance with the policies of the company and within the rules and regulations of governing authorities with a focus on the preservation of safety and security.
  • Serve as the Administrator for fleet management software system and stay abreast of updates/changes, new features, releases, and training opportunities.
  • Maintain electronic database of purchases, sales/disposals, transfers, registration, insurance cards, inspections and maintenance of fleet management.
  • Oversees corporate fuel purchasing program and the management usage of fuel cards.
  • Perform vehicle registration and insurance formalities and documentation regarding induction of new vehicles in existing fleet.
  • Plan, process and execute vehicle purchases, leases and disposals through efficient settlement.
  • Prepares bid specifications for new vehicles and equipment; inspects vehicles and equipment for quality prior to purchase.
  • Contribute financial input to improve budget accuracy as well as fleet reinvestment and asset retirement.
  • Coordinate with various System entities and divisions to determine ongoing vehicle requirements to forecast and plan fleet purchases and/or reassignment.
  • Oversee records maintenance for inspections, warranties, licenses and registrations.
  • Monitors repair work as needed.
  • Inspects vehicle and equipment repairs periodically to maintain quality control and compliance with safety procedures.
  • Reviews reporting of all vehicle, passenger and employee accidents/incidents for determination of cause and preventability and identifying potential trends.
  • Manages the System’s compliance with state and federal regulations, such as, but not limited to; Federal Motor Carrier Safety Regulations, Department of Transportation Laws, State Trucking Regulations.

Facilities Maintenance Management

  • Completes routine property inspections to prevent/identify ensure compliance with building codes, permits and regulations as well as to address any poor appearance, malfunctions or concerns for prompt repair.
  • Suggests efficiency ideas, cost reduction measures and assists with the implementation of changes within facility maintenance.
  • Establishes preventative maintenance schedules for all assigned systems, equipment, and buildings including: Heating, Ventilation, and Air Conditioning (HVAC) Systems, fire protection systems, electrical and energy management, and building components (roof, interior and exterior floors/walls, doors, paved surfaces and landscaping).
  • Identifies and maintains database of necessary spare parts, supplies and materials.
  • Assists in facilities planning including physical layout and space allocation, office moves, coordination with departments / contractors for reconfiguring space, furniture and equipment.
  • Manages the PMC maintenance help desk system and responds to requests as needed.

Measurable Deliverables:

  • Maintain 100% accuracy of fleet management system.
  • Complete quarterly inspections of all BCFS PMC managed properties and others as assigned.
  • Conduct monthly audits of drivers to ensure compliance through fleet management system.
  • Quarterly checks of preventative maintenance logs.

Other Responsibilities:

  • Perform other job duties as assigned by VP of Property and Risk Management and/or Executive Leadership.


  • Possess a valid driver’s license, work eligibility status and have a good driving record.
  • Must pass all background checks.
  • Advanced computer skills (including Word, Outlook, Excel).
  • Familiarity with standard power tools and equipment.
  • Previous experience with a fleet management and/or related asset tracking software system.
  • Possess working knowledge of OSHA and safety rules and regulations pertaining to property management and abide by same.
  • Ability to handle complex, critical tasks, requiring independent judgement.
  • Strong attention to detail and able to prioritize within strict guidelines.
  • Must possess a thorough understanding of finance and accounting.
  • Excellent communication and customer service skills.
  • Must be flexible and willing to answer calls and work outside of normal business hours.
  • Excellent interpersonal skills.
  • Time required to travel: 40% (site visits, training, and auditing required)
